Speed to lead: why portal leads go cold unanswered

A buyer fills in a portal form at 9pm on a Thursday. The office sees it Friday evening, between showings. The buyer is gone by then. This is the normal story of a portal lead, and the numbers behind it are older and starker than most offices assume.

What the studies measured

Mystery shoppers sent 384 brokerages a simple buyer inquiry. The average first response took 917 minutes, about 15 hours. 48% of those inquiries never received any reply at all (WAV Group, 2014).

A second study tracked how much the first minutes matter. The odds of qualifying a lead contacted within five minutes were roughly 21 times higher than when contact took 30 minutes (InsideSales.com and MIT, 2007). That study looked at web leads across industries, not houses, so read it as a direction rather than a precise multiplier.

Harvard Business Review later measured 2,241 US firms responding to web leads. The average response took 42 hours. 23% never answered. Firms that replied within an hour were about seven times more likely to qualify the lead than those that waited longer, and about 60 times more likely than those that waited a day or more (HBR, March 2011).

Why a small office loses them

None of this happens because agents are lazy. Inquiries arrive as prose in a shared inbox, portal notifications pile up next to vendor email, and nobody reads a shared inbox at 9pm by choice. The weekend is where the worst losses sit: Saturday leads are the hottest and the least likely to get an answer before Monday.

The fixes that exist today all cost something. An inside sales person costs a salary. An automation platform costs a monthly fee, a setup call, and a CRM the office may not run.

What actually helps

The offices that respond fastest do three unglamorous things. They route every inquiry to one place, so nothing hides in a personal inbox. They reply within minutes with something real, even before they know the buyer well. They can say which weekend leads got an answer and which did not.

That is the problem Ms works on: forward the inquiry, and a triaged lead record comes back in seconds, with temperature, summary, and every field the buyer did not state marked as not stated. It costs nothing to try, since the first 25 leads are free.
